Job Description: This position will assist with promoting the strategy and goals of Partnership Gwinnett through coordinating, planning and implementing Partnership Gwinnett programs, meetings and special events.

Major Job Responsibilities:

  • Coordinate and assist with the implementation of all department programs and select meetings and events
  • Set pre-program meetings with appropriate team member(s) to review program objectives, needs and timelines
  • Create and maintain department meeting and event calendar
  • Work with marketing coordinator to develop program communications and outreach schedule
  • Assist with contract negotiations and book event space; arrange food and beverage, order supplies, secure audio-visual equipment, signage etc.
  • Conduct research, make site visits and find resources to help staff make decisions about event possibilities
  • Create and revise room layouts for each event
  • Monitor and track event and sponsor registration; manage correspondence with attendees, sponsors, venue and vendors
  • Propose new ideas to improve the event planning and implementation process
  • Serve as liaison with vendors and venue on-site
  • Assist with managing on-site production and clean-up for events as necessary
  • Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, scripts, etc.
  • Prepare and maintain financial records including, revenue and fees generated by events, event operational costs, budget projections and analysis
  • Establish strong working relationships with public, private and nonprofit partners, community leaders, event venues and vendors
  • Assist with the coordination of committee, taskforce and council meetings
  • Develop, distribute and compile results of program evaluations
  • Other assignments as designated and required

Knowledge, Skills and Abilities:

Knowledge of:

  • Planning, administration, organizing, scheduling, coordination and promotional activities related to the execution of programs, special events, meetings and related activities
  • Budgeting and financial management
  • Coordination of materials, services and support systems required for event administration

Ability to:

  • Coordinate multiple programs and events at one time
  • Follow set spending levels and reconcile to budgets
  • Assist with recruiting and coordinating event sponsors and vendors
  • Communicate clearly and concisely, both orally and in writing
  • Work in a team setting, as well as adapt to constantly changing demands and a fast-paced environment
